AI Recruiting Assistant and related Method3 recruiting activities

This Recruiting Privacy Notice explains how Method3, Inc. (“Method3,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information in connection with recruiting, talent community activities, and our AI Recruiting Assistant. It supplements our Corporate Privacy Policy and applies when you interact with Method3 as a candidate, prospect, or applicant.

This notice supports architecture and product design currently underway. It is not final legal language. Qualified legal counsel should review the final notice for state privacy, employment, automated-decision, communications, and client-specific requirements before production launch.

1. Information collected

Depending on the role and how you interact with us, we may process categories of information such as:

  • Candidate contact information (for example name, email, phone)
  • Resumes, CVs, and related application materials
  • Employment history, skills, education, and certifications
  • Work authorization information where relevant to a role
  • Communication history with Method3 recruiters and systems
  • Scheduling information (availability, interview times, time zone)
  • Job preferences and interest signals
  • Recruiter notes and internal recruiting records

2. Information sources

We may obtain recruiting information from:

  • Bullhorn: our applicant tracking and recruiting system of record
  • Microsoft 365: including email and related collaboration tools used for outreach and scheduling
  • Information you provide directly: applications, talent-community forms, replies, interviews, and portal uploads
  • Approved Bullhorn integrations connected to our recruiting workflow
  • Licensed sourcing providers such as supported LinkedIn, Indeed, and Dice services, where Method3 has authorized access

3. Recruiting purposes

We use this information for recruiting business purposes, including:

  • Matching candidates to job orders and client needs
  • Duplicate detection and record quality
  • Recruiter review and prioritization
  • Outreach and follow-up communications
  • Interview and conversation scheduling
  • Client submission and placement activities
  • Compliance and recruiting recordkeeping

4. AI-assisted processing

Method3 may use Microsoft Azure OpenAI and related tools within the AI Recruiting Assistant to help with tasks such as:

  • Skill extraction from resumes and profiles
  • Candidate-to-job matching support
  • Ranking explanations for recruiter review
  • Boolean and structured search assistance
  • Answering recruiter operational questions
  • Reply recommendations for candidate messages
  • Drafting outreach and follow-up content

AI outputs are advisory only. Candidates are not automatically rejected or hidden from recruiters based solely on an AI score or recommendation. Recruiters retain decision authority over outreach, submission, and placement decisions. Method3 designs scoring and ranking features to exclude protected and sensitive characteristics from AI scoring inputs and scoring logic to the extent supported by the system design and available data controls.

5. Human review and automated workflows

  • Recruiters approve outreach workflows before candidate messages are sent.
  • Material changes to an approved workflow require renewed recruiter approval before further outreach under the changed design.
  • Candidate replies may receive AI-generated recommendations for the recruiter; substantive responses to candidates require recruiter review before send (except where a limited, pre-approved automated acknowledgment is expressly configured).

6. Communication channels and cadence

Outlook email is the initial outreach channel for AI-assisted sequences. Approved follow-up channels (where used) may reference the initial email and explain that Method3 is attempting multiple connection points so candidates can respond in the channel that works best for them.

The default outreach sequence:

  • Ends ten (10) days after the initial email, and
  • Stops immediately upon a candidate reply, opt-out, application, scheduled conversation, or other recruiter action that closes the sequence.

7. Opt-out rights

You may stop recruiting communications from Method3 at any time by:

  • Replying to an outreach message with a clear opt-out request (for example, “unsubscribe” or “stop contacting me”)
  • Using any opt-out or preference link provided in a recruiting message or candidate page
  • Emailing Privacy@Method3.com with “Recruiting opt-out” in the subject line

An opt-out creates a company-wide suppression record so Method3 recruiting systems do not continue outreach. Contact may later be resumed only with a documented recruiter reason consistent with Method3 policy and applicable law (for example, you re-apply or expressly request contact about a new opportunity).

8. Data sharing and processors

We share recruiting information with service providers and other parties only as needed for the purposes above, including categories such as:

  • Bullhorn (ATS / CRM)
  • Microsoft Azure (hosting, security, and related cloud services)
  • Microsoft 365 (email, calendar, and collaboration)
  • Azure OpenAI (AI assistance features described above)
  • Approved Bullhorn integrations
  • Licensed sourcing providers (for example supported LinkedIn, Indeed, and Dice services)
  • Relevant clients when a candidate is submitted or considered for a client role, under that engagement’s requirements

Method3 does not sell candidate personal information for third-party marketing. Processors are expected to handle information under contractual and technical controls appropriate to the service.

9. Retention

  • Temporary candidate content processed in the AI Recruiting Assistant is retained for no more than 30 days after transfer to Bullhorn or SharePoint (or equivalent approved systems of record).
  • Unselected external candidate data is also removed within 30 days, or sooner when provider terms require earlier deletion.
  • Records stored in Bullhorn and SharePoint follow Method3’s applicable business, client, and legal retention requirements, which may be longer than the assistant’s temporary processing window.

10. Security and location

Method3 designs the AI Recruiting Assistant and related recruiting systems with safeguards that may include access controls, encryption in transit and at rest where supported by the platform, and audit records of significant system activity. U.S.-region processing is the initial design standard for primary cloud components described in this notice.

No method of transmission or storage is completely secure. We work to protect information using reasonable administrative, technical, and organizational measures appropriate to the risk, but we do not make absolute security guarantees.

11. Candidate rights

Subject to applicable law and Method3’s legitimate recruiting and legal obligations, you may request:

  • Access to recruiting personal information we hold about you
  • Correction of inaccurate information
  • Deletion where applicable
  • Opt-out of recruiting communications (see section 7)
  • Human review of recruiting information and of AI-assisted recommendations used in connection with your candidacy

To exercise these rights, contact us using the methods in section 12. We may need to verify your identity and the scope of your request before responding. Some requests may be limited where we must retain information for legal, compliance, dispute, or placement-record reasons.

Escalation: If you are not satisfied with an initial response, reply to the same privacy mailbox with “Privacy escalation” in the subject line, or mail the Compliance Officer and mark the correspondence for privacy escalation. We will route the matter for further review within Method3. You may also have the right to contact a relevant government authority depending on your location; counsel can confirm jurisdiction-specific complaint paths in the final legal version of this notice.

13. Effective date and updates

This notice is effective as of July 16, 2026 and was last updated on July 16, 2026.

We may update this notice from time to time. Material changes will be posted at the same permanent URL (https://www.method3.com/privacy/recruiting). The “Last updated” date at the top of this page will change when we publish revisions. Continued use of our recruiting channels after an update means the revised notice applies to subsequent processing, except where a different notice or consent is required by law.
